GENERAL SUMMARY
The person in this position will support the daily mail services operations, as well as general office and facility support.
Additionally, the role will provide back-up support to the Production Coordinator and assist Project Services, as needed.
POSITION FUNCTIONS
Responsible for mail services, including sorting, delivery and pick up of all incoming and outgoing US mail, deliveries and interoffice packages as well as the distribution of each at established locations.
Maintain over 15 networked printers (color, black and white, and scan equipment), including toner replacement, troubleshooting prior to contacting vendor service, tracking and following up to ensure an acceptable up time.
Maintain supplies for printers and copier equipment including paper, toners, cleaning supplies, binders, and related items to ensure that over 15 areas stocked and maintained.
Maintain inventory of all office and kitchen supplies, including stocking the break rooms and coffee stations and reporting trends and depletions in stock.
Handle phone and desk set-up and clean up preparations for new hires.
Assist with production print jobs, including creating tabs, assembling and binding documents based on specific order requests.
Collaborate with facility services on maintaining conference rooms, including supplies, network cables, cleanliness and equipment needs.
Assist with office moves, including lifting and moving equipment and supplies.
Provide back-up support to other departments within operations services as needed within the office.
Assist with various projects and data tracking from start to finish using Microsoft software and other database or web based applications.
KNOWLEDGE, SKILLS and ABILITIES
Must have a high school diploma and previous experience in a professional office environment and customer service providing role.
Knowledge in Microsoft Word and Excel, web based applications, database usage and printing services.
Ability to lift up to 50 lbs, extensive walking and standing involved.
Must be able to prioritize multiple tasks in a fast-paced environment.
High energy level, dependable and comfortable performing multifaceted projects in conjunction with normal activities.
Reliable, with excellent attendance and punctuality record.
Highly organized, accurate, flexible and dependable.
Capacity to function in high stress situations attributed to deadlines and client needs.
Excellent interpersonal skills; ability to get along with diverse personalities; inhibits tact, professional attitude, maturity and flexibility.
OTHER REQUIREMENTS
Work Schedule: Standard hours are 8:30am - 5:30pm. Must have ability to be flexible based upon production needs, busy seasons and staffing. Some Saturday hours worked mid-January through mid-April.
Estimated Travel: Potential of an overnight per year associated with training and development, meetings, etc.
