BASIC FUNCTION
Under the general supervision of the Director-Global Procurement, this position is responsible for the coordination of all activities and the systematic completion of all reports, coordinates compiling data for monthly and quarterly meetings, and provides support for Global Procurement Staff. The person in this position is a member of the Global Procurement team. Finally, this position ensures operations flow smoothly in a fast-paced global office environment.

SPECIFIC RESPONSIBILITIES
Establish, develop and maintain an organization system for the Director-Global Procurement. Retrieve information as requested.

Develop, process and track ACTs (including personnel ACTs), Max-P's, White Papers, memorandums, reports, and other confidential correspondence for all members of Global Procurement.

Maintain files of interview candidates, schedule phone interviews, on-site interviews and prepare itineraries, as well as schedule flights, hotels, HMM appointments, vehicle rentals, driving directions and act as a point-of-contact.

Schedule and organize meetings, travel, conference attendance and departmental activities including Brown Bag lunches, assist with Global Procurement Summit, and other team building events.

Provide follow-ups on a daily, weekly, monthly basis to ensure completion of tasks in line with department objectives.

Prepare agenda as well as assembling information for GP Staff meetings, Quarterly Update Calls, and Global Procurement Council meetings.

Attend GP Staff meetings and take minutes.

Update the Project Tracking System when requested; print projects and prepare reports for the monthly Project Review meetings.

Maintain the office supplies and order when necessary.

Assist in preparation of monthly reports required by upper management.

Assist with the maintenance of departmental financials. Activities include distribution of monthly budget rollup and submitting expense reports in a timely manner.

Coordinate routine administrative functions including phone coverage, calendars, appointments, etc. for the Director-Global Procurement and the Director-Corporate Purchasing.

Review and revise New Associate Handbook content. Place revision control on handbook for future reference.

Provide support to the Administrative Staff as needed.

Acts as a liaison with other departments and suppliers on administrative and routine matters.

Perform other related assignments delegated by the Director-Global Procurement.

EDUCATION AND EXPERIENCE REQUIREMENTS
High school graduate with a minimum of three to five year's business office experience.

A demonstrated ability to develop, organize, and maintain an efficient office environment and several data management systems concurrently. A demonstrated ability to type documents from transcriptions or hard copy.

Ability to work independently without supervision.

Proficient in use of Microsoft Office products software (Excel, Word, Power Point).

Knowledgeable in the use of Microsoft Access
